Best CRM for Hotels (2026): Guest CRM, Group Sales and PMS Fit

A hotel doesn’t need a CRM to chase deals the way a software company does. It needs to know its guests, bring them back direct and fill rooms with groups. This guide separates guest CRMs, sales and catering systems and horizontal CRMs, shows which one fits your property, and treats PMS integration as the criterion it really is.

Quick picks

Hotel-specific vendors quote per property, so “Quote” in the table is normal, not a red flag. The figures that do appear (HubSpot, Salesforce, Guesty) are list prices from their pricing pages as of October 2026.

Which hotel CRM fits you? Take the quiz

The quiz asks about property type, PMS, revenue goals and who runs the system: seven questions in all. Each option gets a percent fit, which helps when a guest CRM and a sales and catering tool both score well and you may need two.

Which CRM fits your hotel?

Three kinds of hotel CRM, and why it matters

“Hotel CRM” means three different products, and most roundups mix them up. Decide which job you are hiring for before you compare features.

  • Guest CRM. One profile per guest, built from PMS stays, booking engine data, spend and preferences. It drives pre-arrival and post-stay email, direct-booking offers, loyalty and review requests. Examples: Revinate, Cendyn, and CRM modules inside cloud PMSs.
  • Sales and catering (S&C). The group business: RFPs, room blocks, function space, banquet event orders and contracts. Examples: Amadeus Delphi and Oracle OPERA Cloud Sales and Event Management.
  • Horizontal CRM. General sales and marketing platforms such as HubSpot, Salesforce and Zoho. Strong for corporate accounts, wedding inquiries and travel-agent partnerships; blind to stays until you connect them.

A 40-room boutique hotel usually needs one of these. A 300-room conference hotel often needs two. A group of ten properties needs a clear answer to “which system owns the guest profile?”

The PMS is the source; every CRM reads from it Booking channels Booking engine Online travel agencies Phone and email reservations in PMS (system of record) Reservations and stays Rooms, rates, folios Guest contact details Cloudbeds, Mews, OPERA… Guest CRM One profile per guest Pre- and post-stay email Loyalty, offers Review requests Sales and catering Group RFPs, room blocks Function space, banquet orders Delphi, OPERA S&E Horizontal CRM Corporate accounts, agencies Weddings and event inquiries HubSpot, Salesforce, Zoho blocks API sync Decide which system owns the guest profile. The others read from it and write back only what they must.
The PMS holds stays and money. Guest CRMs, sales and catering and horizontal CRMs each read from it for their own job.

What hotels actually need from a CRM

These criteria decide whether a hotel CRM earns its fee:

  • PMS integration, first and always. The CRM is only as good as the stay data it receives. Ask which PMS versions are certified, whether the sync is real time or nightly, and whether it writes back (for example, preferences or loyalty status).
  • One profile per guest. The same person books direct, then through an OTA, then with a work email. Deduplication across stays and properties is what makes personalization possible.
  • Pre-stay and post-stay journeys. Confirmation, pre-arrival upsell, welcome, post-stay thank-you and review request, triggered by PMS events rather than sent by hand.
  • Direct booking and win-back. Segments for past OTA guests, past-stay offers and rate promotions that link to your booking engine.
  • Reputation. Post-stay surveys and review monitoring tied to the stay, so a bad review reaches the right manager with context.
  • Group and event sales if you have meeting space: RFP intake, room blocks, function diary and banquet event orders.
  • Consent and data rights. Marketing email needs opt-out handling, and guest data from international travelers may fall under privacy laws beyond the US. Check how the CRM stores consent.

What matters less than vendors suggest: AI chat features on day one, a long integration list (count the ones you will use) and advanced sales forecasting for a single property.

The shortlist in depth

Because the hospitality vendors quote per property, the sections below focus on fit. Prices appear only for the horizontal CRMs and Guesty.

Your PMS’s own guest CRM: best for independent hotels on a cloud PMS

Fits: single properties and small groups already on a modern cloud PMS, with no marketer or IT person to run integrations.

Strengths: Cloudbeds describes its Guest Marketing CRM as a unified, de-duplicated master guest profile, updated from the PMS. It aggregates data from all properties for cross-selling and targeted email, with segmentation and automated campaigns triggered by guest events such as checkout.

Mews says guest data is tied to the guest’s profile, not just the reservation, and its marketplace lists third-party CRMs that connect to its PMS, including Cendyn.

Limits: CRM features are often paid add-ons rather than part of the base plan; Cloudbeds lists Guest Marketing CRM as an add-on and quotes all plans. Group sales and B2B accounts are usually out of scope.

Pricing: quote-based for both Cloudbeds and Mews.

Revinate: best for direct bookings, email and reputation

Fits: independent hotels and groups with a marketer who wants guest data, email automation and reviews in one place.

Strengths: Revinate’s product line covers Revinate Core (a customer data platform), Revinate Marketing and Pathways for hotel email and automation, Revinate Feedback for reputation and surveys, plus Reservation Sales for the voice channel and a virtual concierge chat. Revinate says it supports more than 12,500 hotels and offers 140+ integrations, and lists both Mews and Cloudbeds as certified Revinate partners.

Limits: it is a marketing and guest-data platform, not a sales and catering system. Value depends on clean PMS data, so budget time for the integration and profile cleanup.

Pricing: no public price list; Revinate offers demos and quotes.

Cendyn: best for groups that want guest and B2B data together

Fits: hotel groups and larger independents that want guest profiles, marketing and loyalty on one hospitality CRM.

Strengths: Cendyn’s listing on the Mews marketplace describes Cendyn CRM as a hospitality B2C and B2B CRM in which guest data from the PMS, booking engines and loyalty platforms flows into a single guest profile. Cendyn also announced eInsight Sales in 2023 as a sales add-on to its CRM that uses the same PMS data.

Limits: it is an enterprise-style platform with quote-based pricing and a structured onboarding. Small single properties may find it more than they need.

Pricing: quote only.

Amadeus Delphi or OPERA Sales and Event Management: best for group and event sales

Fits: hotels and resorts where meetings, room blocks and banquets are a real revenue line.

Strengths: Amadeus calls Delphi its sales and catering software, built on Salesforce CRM, with lead and contract management, automated banquet event orders and banquet checks. It offers a full-service version for properties with over 5,000 square feet of meeting space, a select-service version for smaller ones, and a version for brands and management companies. Related products include Delphi Diagramming for floor plans, Delphi Direct for single-day meetings booked from your website, and MeetingBroker for RFP distribution.

If you run Oracle OPERA Cloud, Oracle sells OPERA Cloud Sales and Event Management, which it describes as a sales and catering application that integrates with OPERA Cloud services and handles group blocks, function space and catering packages.

Limits: neither is a guest marketing tool. Most hotels pair S&C with a guest CRM, and smaller hotels with occasional weddings may not need S&C at all.

Pricing: quote only for both.

HubSpot: best for boutique hotels selling to companies and couples

Fits: boutique hotels and venues whose growth comes from corporate accounts, wedding and event inquiries, and agency partnerships.

Strengths: a hotel sales manager can track wedding, event and corporate inquiries in HubSpot’s pipelines, forms and email without hiring a consultant. According to HubSpot’s pricing page, the free CRM covers up to 2 users.

Pricing: Sales Hub Starter lists at $20 per seat per month, with discounts for new customers from $7 per seat in October 2026. Professional runs $90–100 per seat per month depending on billing and requires a one-time $1,500 onboarding fee.

Limits: HubSpot doesn’t know about rooms, stays or folios. Without a PMS sync, sales can’t see a planner’s stay history, and guest marketing runs on exported lists.

Salesforce: best for groups building their own guest platform

Fits: multi-property groups with an IT team or partner that want one platform for sales, service, loyalty and marketing.

Strengths: Salesforce’s hospitality solution promises complete guest profiles by connecting data sources from PMS to loyalty, and it sells Loyalty Management and Data 360 alongside its CRM. Because Delphi runs on Salesforce, sales and catering and the wider CRM can share one platform.

Pricing: according to Salesforce’s pricing page, Free Suite covers up to 2 users, Starter Suite lists at $25 per user per month and Pro Suite at $100 per user per month billed annually.

Limits: it is a toolkit, not a hotel product. PMS connectors usually come from partners or custom work. Our Salesforce integration guide and Salesforce integration patterns cover the options.

Zoho CRM: the budget horizontal option

Zoho CRM is free for up to 3 users according to Zoho, with low per-user paid editions. It fits the same jobs as HubSpot (corporate accounts and events) for very price-sensitive properties, with the same need for a PMS sync.

Guesty: best for vacation-rental operators

Fits: short-term rental and serviced-apartment operators who need channel management, guest messaging and direct bookings in one platform.

Strengths: according to Guesty’s pricing page, the Lite plan for 1–3 listings includes a direct booking website built from templates, and the comparison lists a CRM with a pipeline view on Pro and Enterprise.

Limits: it is a rental platform first; the CRM is lighter than a dedicated hotel CRM. Operators who also manage long-term rentals should read our guide to the best CRM for property management.

Pricing: Lite starts at $9 per listing per month; Pro (4–199 listings) and Enterprise (200+) are quoted.

Costs beyond the license

A hotel CRM is only as useful as the stay data and guest list behind it, and getting those right costs more than most quotes show. Plan for these lines too (our 2026 estimates; they vary with vendor region and scope):

  • Onboarding. Hospitality CRMs usually include a paid onboarding in the quote. HubSpot charges $1,500 for Professional onboarding.
  • PMS integration. Certified connectors are often part of the subscription. When none exists, a one-way push of stays into a CRM typically costs $2,000–10,000 as custom code, and a two-way sync $10,000–40,000. Older on-premise PMSs can cost more. Our API integration cost guide shows which sync choices drive those numbers.
  • Data cleanup. Years of OTA guests with masked emails, duplicates and missing consent. Merging and tagging them is days of work for one property and weeks for a group.
  • Templates and journeys. Pre-arrival, post-stay and win-back emails need copy, design and testing before automation goes live.

When off-the-shelf stops fitting: you run several PMSs after acquisitions, want a loyalty program that spans hotels, restaurants and spa, or need guest data in your own data warehouse. Then an integration layer or a custom CRM can pay off; see custom CRM development cost and cost of data integration. If your F&B outlets run like a separate business, our guide to the best CRM for restaurants covers that side.

Setup plan: from contract to a CRM that fills rooms

  1. Decide which system owns the guest profileUsually the guest CRM, fed by the PMS. Write down which system owns stays, groups, companies and consent before anything is imported.
  2. Connect the PMS firstConfirm the certified connector, map fields (stay dates, room type, rate code, spend, source) and test with a week of real arrivals.
  3. Clean and merge historic guestsDeduplicate by email and name, mark OTA proxy emails, and import consent status. Spot-check profiles of your best repeat guests.
  4. Build the core journeysConfirmation, pre-arrival upsell, post-stay thank-you with a review request, and a win-back for past OTA guests. Launch one at a time.
  5. Set up group sales if you need itPipeline stages for RFP, proposal, contract, definite. Connect S&C or the CRM to the PMS so blocks and pickup stay in sync.
  6. Train by roleFront desk captures preferences and emails; sales logs every account; marketing owns segments and journeys.
  7. Measure after 60 daysDirect booking share, repeat-guest rate, review volume and group pipeline value. Drop journeys nobody opens.

A note for tour operators

Tour and activity operators face the same split. The booking system is the record for departures and passengers, and the CRM should read from it rather than replace it. Small operators usually do well with HubSpot or Zoho connected to their booking tool; operators selling through travel agents and groups also need a B2B pipeline. Operators weighing general-purpose tools can compare them in our best CRM for small business guide.

FAQ

What is the best CRM software for hotels?
For most independent hotels and small groups, the best CRM is a guest CRM that reads stay data from the property management system: Revinate, Cendyn or the CRM module of a cloud PMS such as Cloudbeds. If you sell meetings and events, add a sales and catering system such as Amadeus Delphi. Horizontal CRMs like HubSpot or Salesforce fit when corporate and B2B sales matter more than guest marketing.
What is the difference between a hotel CRM and a PMS?
The PMS runs operations: reservations, rooms, check-in, folios and housekeeping. A hotel CRM uses the PMS data to build one profile per guest across stays and properties, then drives pre-stay and post-stay email, direct-booking offers, loyalty and review requests. Some cloud PMSs now include guest profiles and a CRM add-on, which blurs the line for small hotels.
Can HubSpot or Salesforce work as a hotel CRM?
Yes, with integration work. Neither knows what a stay, a room night or a folio is out of the box, so you need a PMS connector or a custom sync for guest data. Salesforce says its hospitality solution connects data sources from PMS to loyalty, and Amadeus built its Delphi sales and catering software on Salesforce, so it is a common base for hotel sales teams.
How much does a hotel CRM cost?
Most hospitality CRMs, including Revinate, Cendyn, Cloudbeds Guest Marketing and Amadeus Delphi, do not publish prices and quote per property. Horizontal CRMs list per-user prices: as of October 2026, HubSpot Sales Hub Starter lists at $20 per seat per month and Salesforce Starter Suite at $25 per user per month, and both have free plans for up to 2 users. Budget separately for PMS integration and data cleanup.
Do I need a sales and catering system if I have a CRM?
If you have meeting space and a sales team chasing group business, usually yes. Sales and catering tools manage room blocks, function space, banquet event orders and RFPs, which a guest CRM does not. A boutique hotel with occasional weddings can often manage inquiries in a horizontal CRM instead.
What is the best CRM for tour operators?
Tour operators usually run bookings in a reservation system built for tours and activities, so the CRM question is similar to hotels: pick a CRM that reads booking data from that system. Small operators often do well with HubSpot or Zoho connected to the booking tool; operators selling to travel agents and groups need a B2B pipeline as well.
