Zoom Salesforce Integration: Meetings, Webinars and Zoom Phone (2026 Guide)

In this article
- The official route is one managed package: Zoom for Salesforce Lightning, built by Zoom and installed from the Zoom App Marketplace through AppExchange (now AgentExchange). It covers Meetings, Webinars, Zoom Phone, Zoom Contact Center, Events and Scheduler; you switch on each product separately.
- What lands in Salesforce: meetings as Events linked to matching contacts and leads, webinars as campaigns with registrants as campaign members (and optional new leads), calls and SMS as Tasks with links to recordings, voicemails and AI summaries.
- Zoom Revenue Accelerator is a separate connection for conversation intelligence: it matches recorded conversations to opportunities, accounts and leads and syncs analysis and deal fields. Buy it for coaching and deal insight, not for basic logging.
- Go custom on the Zoom API and webhooks only when you need what the package doesn’t do: recurring webinars, your own matching rules, several Salesforce orgs, or Zoom data feeding custom objects and reporting.

What a Zoom Salesforce integration should do
Sales meets prospects on Zoom, marketing runs webinars on Zoom, and many teams also call from Zoom Phone. Without a link, none of it reaches Salesforce unless a rep types it in. Activity reports undercount, webinar leads arrive as a spreadsheet days later, and nobody can see that a prospect attended three demos.
A useful integration does four jobs:
- Meetings on the record. Every customer meeting shows up on the contact, lead and account timeline, with who attended and for how long.
- Webinars into pipeline. Registrants and attendees land as campaign members, so marketing can measure webinars against opportunities.
- Calls logged without typing. Click-to-dial, a screen pop for inbound calls, and a call log with the recording link saved on the right record.
- Fewer tabs. Reps schedule meetings, add people to webinars and dial from Salesforce instead of switching to the Zoom app.
It is not a copy of everything Zoom stores. Recordings stay in Zoom, and Salesforce gets links. Keep it that way unless you have a clear reason and a storage budget.
Zoom’s official app: Zoom for Salesforce Lightning
Zoom builds and supports a single managed package called Zoom for Salesforce Lightning. You add it from the Zoom App Marketplace, which sends you to its listing on AppExchange (now AgentExchange). According to Zoom’s support center, as of October 2026 it covers six Zoom products, each activated separately in the Zoom Admin for Lightning app inside Salesforce:
| Zoom product | What it does in Salesforce | Lands as | User permission set |
|---|---|---|---|
| Zoom Meetings | Schedule or start meetings from Salesforce; sync meetings scheduled in Zoom; pull participants, duration and the AI meeting summary after the meeting ends | Event, linked to matching contacts and leads | Zoom Meeting User |
| Zoom Webinars | Create webinars, add leads and contacts as registrants, sync registrants, panelists and attendees | Campaign, campaign members, optional new leads | Zoom Webinar User |
| Zoom Phone | Softphone in the utility bar, click-to-dial, click-to-SMS, screen pop, call and SMS logging | Task, with recording, voicemail and AI summary links | Zoom Phone User |
| Zoom Contact Center | Agent widget for voice, video, chat, SMS and email, with screen pop, call logging and transcripts | Activity on the matched record, with recording URL | Product-specific set |
| Zoom Events and Scheduler | Connect Zoom Events and Zoom Scheduler to Salesforce records; each has its own configuration guide | Depends on the product | Product-specific set |
Admins get the Zoom Admin permission set. Zoom’s documentation is explicit that custom permission sets are outside its support scope, so assign the default ones even if you also clone them.
Requirements
- Zoom: a Pro, Business or Enterprise account, and an account owner or admin with Zoom App Marketplace permissions to install. Webinar hosts need a Zoom Webinars add-on license; Zoom Phone, Contact Center and Revenue Accelerator need their own licenses.
- Salesforce: Enterprise or Unlimited edition, according to Zoom’s installation guide, and an admin with a Trailblazer login to install from AppExchange.
- Matching emails: the installing admin’s email must be the same in Zoom and Salesforce.
- One connection: Zoom’s webinar guide notes that a Zoom account can be connected to only one Salesforce account at a time.
- Encryption: if you use Salesforce Shield Platform Encryption, contact and lead fields must use deterministic encryption; Zoom says probabilistic encryption blocks the install.
Retired and retiring pieces
The old Zoom for Salesforce app (V1) was removed from the Zoom App Marketplace on July 2, 2024 and is no longer supported, according to Zoom. If an older org still has it, use Zoom’s migration guides for Meetings, Webinars and Phone, which keep historical records.
Check the installed version, too. Zoom required version 2.24 or later by February 28, 2026 because of a key rotation. As of October 2026, its minimum supported version is 2.25.0.
Two telephony changes matter in 2026. First, Zoom Contact Center is moving agents from its older V2 CTI client to V3. Zoom’s guide asks Salesforce admins to update the CTI adapter URL on the Zoom Contact Center call center record (package version 2.3.0 or later), so check that record now rather than after the legacy URL stops working.
Second, the Zoom Phone softphone runs on Salesforce Open CTI, which Salesforce plans to retire on February 28, 2028; our Salesforce CTI integration guide covers the dates and the options.
Your options compared
| Zoom for Salesforce Lightning | Zoom Revenue Accelerator | iPaaS or no-code | Custom on Zoom API | |
|---|---|---|---|---|
| Best for | Logging meetings, webinars and calls; dialing and scheduling from Salesforce | Conversation intelligence, coaching, deal updates | Simple one-way triggers | Rules the package can’t express |
| What syncs | Events, campaigns and members, leads, call and SMS Tasks, recording links, AI summaries | Conversation analysis, matched to opportunity, account or lead; mapped deal fields | Whatever the recipe maps, usually new registrants or ended meetings | Anything the Zoom APIs and webhooks expose |
| Direction | Mostly Zoom → Salesforce; Salesforce → Zoom for scheduling and webinar registration | CRM data into Zoom; opportunity fields both ways if mapped | One-way per flow | Your design |
| Cost level | Zoom licenses for the products you use; no separate connector to buy | Per-user Revenue Accelerator license | Platform subscription by task or record | Build cost plus upkeep |
| Typical effort | Days | Days, plus matching cleanup | Days | Weeks |
| Limits | No recurring webinars; email matching only; one Salesforce org per Zoom account | Pulls CRM data on a schedule after the first load; matching depends on clean contacts and opportunities | Breaks quietly; volume pricing | You own rate limits, retries, monitoring |

How the data flows
Zoom is the system of record for meetings, webinars, calls and recordings. Salesforce is the system of record for people, accounts, campaigns and opportunities. The package copies a summary of each Zoom interaction onto the matching Salesforce record and keeps a link back to the media.
Object and field mapping: what goes where
The package decides most of the mapping. Your decisions are which records count as a match and which settings to turn on.
| Zoom | Salesforce | Direction | System of record |
|---|---|---|---|
| Meeting scheduled from Salesforce | Event with Zoom fields, linked to matching contacts and leads | Salesforce → Zoom, details back after the meeting | Zoom for the meeting, Salesforce for the Event |
| Meeting scheduled in Zoom | Event for matching contacts and leads (if enabled), or External Zoom Meetings page | Zoom → Salesforce via webhook | Zoom |
| Participants, duration, AI meeting summary | Zoom meeting details on the Event | Zoom → Salesforce after the meeting ends | Zoom |
| Webinar | Campaign (one per webinar, if enabled) | Zoom → Salesforce | Zoom for the webinar, Salesforce for the campaign |
| Registrant, attendee, panelist | Campaign member; new lead if no contact or lead exists (if enabled) | Zoom → Salesforce; registering leads and contacts from Salesforce sends Salesforce → Zoom | Salesforce for the person |
| Zoom Phone call or SMS | Task, linked to the matched contact or lead and a Related To record | Zoom → Salesforce | Zoom |
| Call recording, voicemail, AI call summary | Links and summary on the Task page component | Zoom → Salesforce | Zoom |
| Revenue Accelerator analysis | Custom analysis record or the activity description | Zoom → Salesforce, opportunity fields both ways if mapped | Zoom for analysis, Salesforce for deal fields |
Matching runs on email for meetings and webinars and on phone number for calls. That is why most problems with this integration are data problems: duplicate contacts with the same email, leads that were never converted, or phone numbers stored in five formats.
How to set it up, step by step
The steps below follow Zoom’s own installation and configuration guides, with a sandbox pass added before production. Click paths in the Zoom support center change with each package release, so keep it open next to this list.
- Decide what you needList the Zoom products in use and what each team needs on records: meetings for sales, campaigns for marketing, call logs for SDRs. Activate only those products.
- Start in a sandboxAppExchange lets you pick a sandbox as the install target. Webinar settings that create leads and campaigns are hard to undo in production, so test them first.
- Install the packageAs a Zoom admin, find Zoom for Salesforce Lightning in the Zoom App Marketplace, pre-approve it for all users on the account, click Add, then Get It Now on AppExchange. Zoom recommends installing for admins only, which means you assign access yourself.
- Assign permission setsZoom Admin to admins; Zoom Meeting User, Zoom Webinar User or Zoom Phone User to the right people. Users without a set won’t see the features.
- Activate products in Zoom Admin for LightningOpen the app from the App Launcher, activate Zoom Meeting, Zoom Webinar or Zoom Phone, and review each product’s settings page.
- Configure meetingsSet the invitation sender address, decide whether Salesforce sends invitation emails, and turn on Events for meetings created outside Salesforce if you want Zoom-scheduled meetings logged. Assign the Zoom Event layout and add the Zoom meeting details component to the Event record page.
- Configure webinarsChoose whether each webinar creates a campaign, whether registrants become campaign members, and whether unknown registrants, attendees and panelists become new leads. Agree on lead source and owner with marketing before you switch on lead creation.
- Configure Zoom PhoneAdd each user to the Zoom Phone call center (a user can be in only one call center). Add the Open CTI Softphone to the app’s utility items and the Zoom call log component to the Task record page. Then set logging options, such as automatic saving of call logs and texts.
- Have users authorizeEach user opens Zoom User Config and authorizes the Zoom products they use. Their Zoom and Salesforce emails should match.
- Test real scenariosA meeting with a known contact, one with an unknown guest, a webinar with a new registrant, a call to a number stored on two contacts, a call from the mobile app. Check what landed and where.
- Pilot, then roll outOne sales team and one webinar first. Fix matching and duplicates, then repeat the configuration in production.

Pitfalls and how to fix them
| Problem | What happens | Fix |
|---|---|---|
| Webinars flood Salesforce with leads | Every unknown registrant, attendee and panelist becomes a lead, including students, competitors and colleagues | Agree on lead creation rules first; set a dedicated lead source; run duplicate rules; consider campaign members only |
| Registrants missing | People who register on Zoom’s own registration page don’t appear on the webinar record | Use Sync Webinar from Zoom on the webinar record after registration closes and after the event; reconcile counts against Zoom’s report |
| Recurring webinars | Not supported in the Lightning app, according to Zoom | Schedule series as separate webinars, or sync them through a custom flow |
| Meetings not on any record | Invitee emails don’t match a contact or lead, so the meeting sits on the External Zoom Meetings page | Clean contact emails; review that page weekly or create the Event manually; for regular guests, create the contact first |
| Calls on the wrong contact | One number belongs to several contacts or a shared switchboard | Normalize phone formats; let reps choose the record on ambiguous matches; train them on the Related To field |
| Calls from mobile not logged | Calls made outside Salesforce arrive as unlinked call logs | Ask reps to import them from the widget; Zoom limits the review window to a few days and recordings don’t come with them |
| Integration tied to one person | The installing admin leaves, and authorization or upgrades break | Use a team-owned admin account with matching emails in both systems, documented in your runbook |
| Outdated package | Old versions miss features or stop working after Zoom key or adapter changes | Check the installed version, upgrade in sandbox first, and read Zoom’s release notes before each upgrade |
| Sensitive content in Salesforce | AI summaries and call notes reach records that many users can see | Decide which summaries sync; restrict Task and Event visibility where calls cover health, legal or HR topics; check call recording consent rules for your states |
When Zoom Revenue Accelerator matters
Revenue Accelerator is Zoom’s conversation intelligence product. It is connected to Salesforce separately, from Admin Center in the Zoom web portal, with OAuth or a JWT token. According to Zoom’s support center:
- After a conversation, it matches it to a Salesforce record, checking opportunities first, then accounts, then leads. Admins can review and fix matches.
- The analysis can sync as a custom analysis record (with the Lightning app installed) or into the description of the Salesforce activity, with items such as the conversation summary, next steps and sentiment score.
- Admins can map Revenue Accelerator fields to Salesforce fields and let deal owners update opportunity fields from Zoom.
- After the initial load, Revenue Accelerator pulls fresh CRM data every four hours, so good matching depends on current CRM contacts, accounts and open opportunities.
Buy it when managers coach from recordings, when forecast calls need evidence from conversations, or when reps skip updating next steps. Skip it when the goal is only to see that a meeting happened. Each user needs a Revenue Accelerator license.
When custom integration makes sense
A custom layer on the Zoom API pays off when:
- You run recurring webinars or a webinar program that must feed a marketing automation platform as well as Salesforce. If Marketo is in the mix, see our Marketo Salesforce integration guide.
- You need your own matching rules: by account domain, by opportunity contact role, or across several Salesforce orgs.
- Zoom data must land in custom objects for reporting, such as attendance scores or meeting counts per opportunity stage.
- You want recordings or transcripts processed or archived under your own retention rules.
The usual build is a small service. Zoom webhooks such as meeting.ended and recording.completed tell it something happened. It then calls the Zoom REST API for details and writes to Salesforce through the REST API under a dedicated integration user.
According to Zoom’s developer documentation, webhook endpoints must answer within 3 seconds and verify the x-zm-signature header. Zoom retries a failed delivery only three times (for server errors, not 4xx responses), so queue events and reconcile daily.
Zoom API rate limits depend on the plan and endpoint type. As of October 2026, they run from 10 to 30 requests a second on Pro and 40 to 80 on Business and higher. Resource-intensive endpoints are limited per minute, and heavy calls have daily caps.
A webhook listener for ended meetings sits near the low end; matching across several orgs with custom objects pushes toward the high end. Our API integration cost guide is the source of these ranges. For the full map of Salesforce integration options, see the Salesforce integration guide. If your teams meet in Microsoft Teams instead, the Salesforce Microsoft Teams integration guide covers that side, and calendar sync is covered in our Salesforce Outlook and Gmail integration guide.
Go-live checklist
Run through this before you activate Zoom products in production. Each box you can honestly tick is one less surprise in week one, when reps and marketing start relying on the records.

Where Gilzor fits
The hard part of a Zoom rollout is usually matching, not installing: getting meetings, webinar registrants and calls onto the right Salesforce record. Gilzor, a software development company in Poland and Cyprus, builds and maintains Salesforce integrations.
We can configure Zoom’s Lightning app and its matching settings, or add custom pieces on the Zoom and Salesforce APIs where the package stops, and support them after launch. Our Salesforce integration services page explains how we scope this kind of work.
